How Long Does It Take to Set Up an AI Voice Agent?

For a single-service build — just the voice agent, nothing else — most setups go from kickoff call to live in 3-5 days. That number moves depending on a few specific things, and it's worth knowing what they are before you commit to a timeline.
The typical timeline, step by step
- Kickoff call (day 1). A short call to understand what the agent needs to handle: the most common calls you get, how you want bookings or messages routed, and what a "good" answer sounds like for your business.
- Build and configure (day 1-3). The agent is built against your actual scripts, hours, pricing, and FAQs — not a generic template — and connected to whatever calendar, CRM, or phone system it needs to talk to.
- Testing (day 3-4). Real test calls covering the common questions and a few edge cases, checking handoff rules work correctly when the agent hits something outside its scope.
- Go live (day 4-5). The number goes live, usually alongside a short overlap period where you can review transcripts and flag anything that needs adjusting.
What speeds it up
- Documentation that already exists. If your FAQs, pricing, and common call scripts are already written down somewhere, there's nothing to reconstruct from scratch.
- Simple integrations. A calendar booking flow through a mainstream tool is faster to wire up than a custom or legacy system.
- Fast feedback. The quicker you can review test calls and confirm they sound right, the quicker it goes live.
What slows it down
- Undocumented processes. If pricing or policies live only in someone's head, that has to get captured and confirmed first.
- Legacy or unusual phone systems. Older on-premise PBX setups can take longer to connect than a modern cloud phone system.
- Scope creep mid-build. Adding new requirements partway through (a second language, a new integration) resets part of the testing cycle.
What this doesn't include
Bigger builds take longer. If the voice agent also has to hand calls to your quoting process, or write into a job system nobody has documented, there's more to map and more to test.
